Durango Cocina & Rooftop is seeking an energetic, organized, and sales-driven Restaurant Sales Coordinator to help grow our private dining, rooftop events, corporate gatherings, weddings, social celebrations, and group dining business. This role is ideal for a hospitality professional who enjoys building client relationships, creating memorable experiences, and turning inquiries into confirmed events.

Job Summary

The Restaurant Sales Coordinator is responsible for responding to event inquiries, developing new business, coordinating event details, preparing proposals and agreements, conducting venue tours, and maintaining communication with clients from the initial inquiry through the event handoff. The coordinator will work closely with restaurant leadership, culinary, bar, service, hotel, and operations teams to ensure every event is properly planned and successfully executed.

Essential Duties and Responsibilities

  • Respond promptly and professionally to telephone, email, website, social media, and in-person event inquiries.
  • Sell private dining, rooftop events, group reservations, corporate functions, weddings, rehearsal dinners, birthday celebrations, holiday parties, and other social events.
  • Proactively generate new business by contacting local companies, event planners, wedding professionals, community organizations, travel partners, and nearby businesses.
  • Conduct property tours and present the restaurant, rooftop, menus, beverage options, event spaces, and available packages.
  • Prepare proposals, event agreements, menus, payment schedules, and detailed event information.
  • Follow up consistently with prospective clients and maintain an organized sales pipeline.
  • Coordinate event details, including dates, times, guest counts, room layouts, menus, bar packages, audiovisual needs, décor, entertainment, deposits, and special requests.
  • Maintain accurate client records, contracts, deposits, payment information, and event documentation.
  • Create and distribute event orders, function sheets, or other operational documents to the appropriate departments.
  • Communicate final event details and changes clearly to culinary, bar, service, management, and hotel teams.
  • Attend event-planning meetings, menu discussions, tastings, and pre-event operational meetings as required.
  • Monitor event calendars and help maximize the use of restaurant and rooftop spaces.
  • Assist with group dining reservations and large-party coordination.
  • Develop professional relationships with repeat clients, local businesses, event planners, and referral partners.
  • Support promotional events, networking activities, community outreach, and sales campaigns.
  • Assist with social media or marketing content related to private events and group dining when requested.
  • Follow up with clients after events to gather feedback, address concerns, request reviews, and encourage repeat business.
  • Track sales activity, confirmed revenue, conversion rates, lost business, lead sources, and future opportunities.
  • Maintain confidentiality and protect client, payment, and business information.
  • Perform other sales, administrative, and operational duties as assigned.

Qualifications

  • Previous experience in restaurant sales, catering, private events, hospitality sales, event coordination, or a related role is preferred.
  • Strong sales ability with confidence in presenting, following up, negotiating, and closing business.
  • Excellent written, verbal, telephone, and interpersonal communication skills.
  • Highly organized and able to manage multiple events, deadlines, and client requests simultaneously.
  • Strong attention to detail and commitment to accurate documentation.
  • Professional, polished, and guest-focused demeanor.
  • Ability to work independently while collaborating effectively with restaurant and hotel teams.
  • Proficiency with email, Microsoft Office or Google Workspace, Toast POS systems, sales & event-management platforms, and customer relationship management tools is preferred.
  • Knowledge of food and beverage operations, event menus, bar packages, and banquet-style service is a plus.
  • Ability to remain calm, professional, and solution-oriented in a fast-paced environment.

Schedule Requirements

This position requires flexibility based on client and business needs. The Restaurant Sales Coordinator must be available for occasional evenings, weekends, holidays, venue tours, networking events, and scheduled functions.

Physical Requirements

The essential functions of this position may require the employee to sit, stand, walk, bend, reach, and move throughout the restaurant, rooftop, hotel, and event spaces; use a computer and telephone for extended periods; communicate effectively with clients and employees; and occasionally lift or carry materials weighing up to 25 pounds.
